This Privacy Notice explains how we collect, share and use personal information about you before, during and after you attend (or view) our events (including a livestream event), and how you can exercise your privacy rights. The data controller of your personal information is John Wood Group plc, which is registered with the UK’s Data Protection Authority (“ICO”).
We will collect personal information so we can provide access to, and deliver, an event (including a live stream event) and provide wider access to its content. If an event is being recorded, we will always notify you in advance. If an event recording will be published, we will always notify you before the event.
We may collect your personal data from various sources including through any registration/sign up forms completed by you, email correspondence with you, and recording devices capturing audio and visual images at the event.
If you are an attendee, a viewer or a presenter at one of these events, we will collect your name, organisation name and email contact information so that we can provide you with the event details (including whether any recording is taking place and, if so, where any recorded content will be published).
We may take photos of the event for marketing purposes which may be shared internally as well as externally on our digital channels. If you do not wish to be photographed, please let the event organiser know before the start of the event so we can find ways to manage this on the day.
We may record some, or the entire, event and all presenters will have their image and audio captured in the recording. The event may also be live streamed and a recording of that live stream may be published after the event.
Whilst cameras and microphones will predominantly be directed at presenters, audio and visual recording may inadvertently capture physical attendees. If you do not wish to be recorded, please let the event organiser know before the start of the event so we can find ways to manage this. If you are a virtual attendee, you may have the option of making your profile visible during the session. If you choose to do so, this may also be captured in the recording.
Some events may feature a moderated Q&A. If you choose to interact with the Q&A, your participation and/or comments may be published to others at the event and will also form part of the recording.
For some events, we may publish the recording on the Investors areas of our website so this is accessible to a wider audience.
Whilst we don’t publish or share delegate lists for events, your name and email address may be visible to others in attendance during the event if you make your profile visible.
We may also capture “special categories” of information when processing information on your dietary, health and/or access requirements.
We may use analytics cookies on streaming platforms used in order to analyse who is viewing our events virtually so that we can understand trends in virtual participation and engagement in order to assess the success of our events and determine future event strategy.
It is in our legitimate interests to collect and use the personal information described above so that we can provide a good event experience to attendees and to support flexibility and access for those who are unable to attend in person, or who wish to view an event remotely.
Where we rely on consent for any processing, this will be collected in a separate and distinct manner (such as on any registration forms or through any live stream platform).
We will keep a recording of the event on the streaming platform for 6 months and thereafter on our website. For more information about how long we hold personal information, please see below.
As part of this delivering an event, we will expect to share your personal data with our co-organisers/event managers involved in the delivery of an event and well as any contractors and service providers (including providers of IT, streaming platforms and other support services) where applicable and where it is necessary for them to receive the personal information.
